Forget the old: How licensing optimisation is transforming the Cloud era

The world of cloud licensing is constantly evolving, and staying ahead of the curve is no easy task. Jo Moore, a seasoned expert in licensing optimisation from Interactive, sheds light on this dynamic space, sharing her excitement about the future and offering practical advice on how organisations can unlock value by rethinking their licensing strategies.

“The approach we take really depends on our customers’ specific needs and objectives,” Moore explains. “I always try to put myself in their shoes and consider what I would want if it were my business. While cost is important, I also prioritise simplicity, streamlining, and ease of management.”

What’s changing in Licensing?

According to Moore, one of the most exciting developments is the shift in licensing flexibility, particularly in the cloud space.

“Private cloud versus public cloud is going to be something interesting to watch, especially as licensing rules change,” she notes. Microsoft, in particular, has been evolving its approach, allowing for greater flexibility. “Earlier this year, Microsoft opened up new options. Previously, you could only license a private cloud environment with one type of agreement, but now they allow different licensing options that don’t require as much evidence, ultimately offering a cheaper option for customers.”

Key partners and the benefits of assessments

Moore emphasises the importance of maintaining strong partnerships, not only for staying informed but also for assessing how companies manage their licenses. “We have the capability to assess and help customers optimise their licensing. Sometimes, there’s nothing more you can do – you’re already doing it right. But taking stock and having a look is essential to make sure you’re buying the right licenses and getting the best value.”

Moore emphasises the importance of collaborating with customers to understand their needs. “For instance, do all users require a full Microsoft 365 E3 license, or are some simply accessing email notifications on shared computers? If the latter is the case, we can find the right license that meets their needs without incurring unnecessary costs. This principle applies to all customers, as many are unaware that various licensing levels are designed to align with their specific requirements and the tasks their end users need to perform.”

Education is key

Moore says education is key to effective software licensing management.

“It requires some education, and it’s not surprising since software licensing is often intangible—something you can’t physically hold. Many people tend to buy licenses and forget about them, continuously topping up without realising it,” she reveals.

"Optimisation isn’t just about what we can offer initially; it’s about ongoing management to ensure we're not overspending or buying more than necessary. Many licenses are transferable between users, so it’s crucial to repurpose them effectively. This involves continuous guidance, not just a one-time sale of licenses, and I apply this same approach internally as well."

Process makes perfect

Moore says in the licensing journey, a structured process is crucial, as it ensures that all aspects of a customer’s needs are thoroughly assessed, allowing for tailored solutions that balance cost, complexity, and functionality.

“We ask questions like: What are you currently using? What’s the purpose of those tools? What type of users do you have?

“During the assessment, I explore various licensing options. While one option might be the most cost-effective, it could require assigning multiple licenses to a user, making management more complicated. So, I present multiple choices: one that may involve more management, but offers savings, another that simplifies the process, and a third that encompasses all necessary features. This approach helps organisations find the best fit for their needs.”

What excites Moore about the future?

Looking ahead, Moore is optimistic about how the evolving cloud landscape will impact licensing strategies. “I’m excited to see how private cloud versus public cloud develops, and how licensing is going to be affected by that shift,” she shares. With Microsoft leading the charge in changing licensing rules, Moore is keen to see how these adjustments will continue to benefit customers, especially in terms of cost savings.

Moore leaves us with a practical takeaway: the importance of reevaluating licensing strategies.

“Ultimately, it’s important to assess and evaluate your licensing. Regardless of whether there are opportunities for optimisation, ensuring proper management, acquiring the correct licenses, and obtaining the best value for your organisation is crucial.”
